Executive Assistant Controller's & HR Office

Summary

The Executive Assistant plays a pivotal role in supporting the Controller's and Human Resources Office by managing administrative tasks. This role requires excellent organizational skills, attention to detail, and the ability to effectively communicate with internal teams, and the public.

Essential Job Functions

•Prioritize and manage the Controller’s Office calendar, including meetings to optimize time efficiency.

•Screen and respond to emails, phone calls, and other forms of communication on behalf of the Controller’s and HR Office.

•Maintain and organize files, records, and other confidential administration documents.

•Assist with managing office supplies.

•Coordinate logistics, prepare agendas for internal and external meetings.

•Act as a liaison between the Controller’s and HR Office and other municipal departments, and the public.

•Support Controller’s and HR related projects and initiatives as needed

Required Skills and Abilities

•Interpersonal Relationships – Develops and maintains cooperative and professional relationships with employees at all levels, representatives from various departments, and outside agencies. Effectively responds to and resolves complex inquiries and disputes.

•Computer Skills – Utilization of modern office technology including but not limited to word processing, spreadsheet and related software with reasonable speed and accuracy. 

•Communication – Excellent ability to listen and understand information presented verbally and in writing. Ability to handle a variety of issues with tact and diplomacy and in a confidential manner.

•Coordination of Work – Ability to plan and organize daily work routine and establish priorities for the completion of work in accordance with sound time-management. 

 

Education and Experience

•Bachelor’s degree in Business Administration or related field 

•5+ years of administrative or executive level support experience, may substitute for a degree

 

Additional Requirements

Requires a background investigation to include a local, state, and federal criminal history check, sex offender registry, and consumer report.
